Uploading an email into KnowledgeNet using the Outlook Add-in

Bringing a message into KnowledgeNet instead of keeping it in email has multiple advantages.

Once a user has installed the KnowlegeNet Outlook Add-in, they can begin uploading emails into their organization's KnowledgeNet. Bringing messages into KnowledgeNet instead of keeping them in email is superior for the following reasons:

  1. KnowledgeNet will hash tag and create contact and account records for senders and recipients. If your organization uses KnowledgeNet Professional with a connected CRM, those records are saved in the CRM as well. This reduces administrative tasks and allows users to tag all future references to those contacts and accounts, creating a complete interaction history for the entire organization to reference.

  2. Users can add additional hash tags to the post to save the message to the records of other relevant contacts, accounts, and rooms. For example, a user receives an article about drone technology that mentions a promising company that could make a good investment opportunity. They can quickly add a hash tag for that company and begin tracking conversations and interactions to it.

  3. Copies (notifications) of the message will be put on the personal KnowledgeNet timelines of and emailed to individuals following those hash tags and rooms. Individuals control the information the want to see instead of relying on posters to remember who needs to be copied.

  4. KnowledgeNet posts are more secure and internal discussion can continue in easier-to-follow threaded comments.

To upload an email:

  1. Click to open the KnowledgeNet Add-in. The location of add-ins can vary depending on your setup.

2. KnowledgeNet will open on the right side of your Inbox.

3. Click the blue button labeled "Upload Email to KnowledgeNet."

4. Choose the room(s) or individual(s) where you want your post to go (optional). Decide if you want your post to be public or private. Click the blue "Post" button.

**This public post will be sent to the Marketing room and everyone following that room will receive notifications. It will be copied to the records for the Mallorie Ingram contact and the Innovation Learning account and will be visible to anyone in the organization who looks at those records.

If you do not designate recipients and your post is public, it will be copied to the records for each hash tagged contact and account and will be publicly visible to anyone in your organization. If you do not designate recipients and your post is private, it will be copied to the record for each hash tagged contact and account and will only be visible to you.
